Condominium documents: the paperwork you need

Source: boligejer.dkGuide: Selling a property – 2. Gather documents

Once you have decided to sell your condominium and signed an agreement with your estate agent, you need to obtain a number of documents about the property. In the trade they are called "the property's documents". They are used both to produce the sales material and to hand over to the buyer, so the buyer and their adviser get documentation of the important data about the property.

Agree who orders what

Agree with your estate agent who obtains which documents – it saves time and duplication. There is one important exception: the agent may not order the condition report (tilstandsrapport), so you must order that yourself.

If you need help from a building surveyor, ask your agent to put you in touch with an insurance company that finds one. The agent must not broker direct contact between you and the surveyor – the rule exists so there is no doubt about the surveyor's impartiality.

Set up one shared checklist with your agent from the start, marking who takes each document.

The property data report – the full package

The property data report (ejendomsdatarapport) gathers around 50 different pieces of information for the transaction. It costs 105 DKK and can be renewed twice for free within six months of the order date.

Where the information exists in the registers, these annexes are delivered as PDFs with the report:

  • BBR registration certificate
  • Energy label
  • Condition report*
  • Electrical installation report
  • Building damage insurance*
  • Property tax bill*
  • Valuation notice
  • Road supply
  • Soil contamination certificate
  • Documents on overdue municipal debt*

Items marked * are reserved for the property owner. You only get them in your report if you are logged in with MitID when ordering and are the registered owner – or hold power of attorney from the owner.

Documents for a condominium

For a condominium the same public and private documents apply as for a property – and on top of that comes a set of papers from the owners' association:

  • Land registry certificate (tingbogsattest)
  • The property's easements
  • Contamination form from the region
  • Local and municipal plans
  • Condition report
  • Electrical installation report
  • Declaration on payment of ½ owners' change-of-ownership insurance premium
  • House and change-of-ownership insurance offer
  • Seller disclosure form
  • Cadastral map
  • Condominium form (administrator's response)
  • Condominium map
  • Insurance policy for the main property
  • House rules
  • Information on any joint loans in the property
  • Minutes from general meetings, articles of association, and the latest annual accounts and budget for the owners' association
